General guidelines 

  • The Partners Forum is a three-days long residential retreat. It has a mix of structured and informal sessions to enable us to discuss and deliberate. It also helps us build new connections and renew old ones. All the attendees are requested to go through the following guidelines to collectively uphold the Forum’s spirit.  

 

  • We have representation from across the country. We request the participants to be mindful of, and accommodate, linguistic and cultural diversities. In case following different languages proves to be a challenge, for example, please feel free to request friends within the group to help bridge these issues. 

 

  • Do respect all members’ right to speak and share their thoughts. Please try to avoid one member dominating common spaces and  discussions. 

 

  • Please respect everyone’s time. Kindly arrive on time for all the sessions and return on time after the breaks. 

 

  • Do make adequate arrangements for work-related tasks and meetings for the duration of the Forum. Please ensure that you are fully present during the sessions. Kindly avoid attending work calls and emails during the Forum to the extent possible.  
  • Sub-group sessions and masterclasses will be able to accommodate only a limited number of participants, given the scale. We request you to follow the guidelines shared during registration. Please be mindful of the numbers that can be accommodated. Kindly facilitate learning for each other to the best of your abilities. 

 

Creating safe spaces for each other 

  • Please respect personal spaces and boundaries. 
  • In case you are subject to any unwarranted advances from any of your fellow-participants during the Forum, or you feel unsafe or uncomfortable due to a fellow-participant's behavior, please do reach out to someone from the Wipro Foundation team and share your concerns. 
  • In case you are made aware of the fact that your behavior has caused discomfort to a fellow participant, please take corrective action. Kindly respect the due process that will take place. 
  • Due process will be followed, and action taken, in accordance with our guidelines and policies. This may include the removal of the participant concerned from the Forum, if needed.  

 

 

We hope you will be leveraging the 2.5 days with a large set of practitioners and have planned your work accordingly. In case you need to attend some work-related matter, it would be useful to keep in mind that we won't have access to the University Wi-Fi / internet. Airtel has best coverage and Jio is the second best. Please plan your work and communications accordingly.

About the venue

Founded in 2010, Azim Premji University is dedicated to building a just, equitable, humane and sustainable society. GUIDELINES

  • All the participants will be housed at the Guest Residence (GR) Building. Our location volunteers will guide you to the building when you arrive.
  • All the residences provide facilities that will ensure a comfortable stay for all participants. Each room has basic furniture and soft furnishings like bedsheets, blankets and pillows. Towels and basic toiletries (shower gel and shampoo) will be provided.
  • The rooms are designed for guests’ temporary stay. Hence, these are furnished accordingly. All residences are cleaned and sanitized after guests check out of the premises.
  • The rooms will be allocated on a double-sharing basis. Male and female participants will be accommodated in separate rooms.
  • Sanitary pad vending machines are installed in designated places. WiFi/ internet facility is not available at the residences/ campus. The participants will have to use their mobile phones/ internet dongles.
  • Toilet paper rolls will be made available on request.
  • Most rooms have hot-water kettle.
  • Each floor has designated RO water dispenser, tea/coffee machines, and iron stations. These can be used any time.

 

Sports Facilities

  • A cricket ground is available that can be used by the guests, for day and night matches. Cricket kits can be provided by the university.
  • There are indoor sports facilities such as volleyball/ basketball/ badminton courts/ table tennis that can be used by the guests.
  • Regular shoes are not allowed for indoor games such as badminton. Guest must play either with non-marking shoes or barefoot.
  • An indoor gym is available that can be accessed by the guests.


Cafeteria

  • All meals - breakfast, lunch, dinner, tea/ coffee - will be arranged during the Meet for all the registered participants.
  • For additional meals or snacks, the university cafeteria (on-campus) serves a variety of meals. These include both vegetarian and non-vegetarian options. It is open from 7:30 a.m. onward.

 

Important Protocols

  • All the participants are requested to carry a government-issued identity card.
  • Consumption of alcohol/smoking is not allowed anywhere on campus.
  • Kindly refrain from eating food (except items such as chocolates, cookies, etc.), inside the rooms. There is a separate designated space on the ground floor for eating.
  • Room cleaning during the stay is on a “need and request” basis.
  • Children are not allowed to stay at guest residences. Please note that this applies to anyone under the age of 18. Please get in touch with the Wipro Foundation team in case there is a situation where children need to be brought along.
  • Guests staying in the residences will not have access to student floors/ rooms.
  • Guests are requested not to exchange rooms amongst themselves, as the accommodation list is used by the security team, in case of any emergencies.
  • Student interactions at the guest residence are discouraged. Meetings with students (if necessary) should be conducted in common spaces such as recreational areas, and classrooms.
  • Participants are barred from accessing terraces, basements, and any areas with construction activity.
  • We discourage the use of single-use plastic bottles. Kindly bring your own water bottle along.


Medical Guidelines

  • The university will provide basic first aid to all residents on campus, regardless of the nature of association.
  • The university will also provide ambulance services to the nearest hospital (not necessarily a hospital of the visitors’ choice), free of charge.
  • Any medical care (and associated cost of care) must be covered by the visitors themselves. This includes the cost of care at the nearest hospital, any diagnostics and treatment at the hospital, transport from the nearest hospital to other hospitals, and the cost of overnight caretakers, etc.
  • All the participants are requested to carry along important prescriptions and emergency medication.

Travel guidelines

  1. Please note that Wipro Cares will book tickets for air travel, for the participants.
  2. Once the tickets are booked, we will not be able to accommodate any changes relating to the person, date, time, flight, location (to-from), etc.
  3. Partners travelling to Partners' Forum via road and rail are requested to make their own bookings. They may claim reimbursements, as per 'Reimbursement Policy' detailed below.

Travel within Hyderabad:

  • The Forum venue (Kanha Shanti Vanam) is at some distance from the airport/railway stations/bus stations.
  • The conveyance to/from the venue to airport, major bus and rail stations will be arranged by Wipro Cares on the day of arrival and on the day of departure.

Reimbursement Policy:

  1. Applicable where partners have made their own bookings for train/bus/taxi or have used their personal vehicle.
  2. Travel reimbursements will be made against original travel proofs (tickets/receipts) only.
  3. The reimbursement eligibility guidelines are detailed in the table below.
  4. Ticket cancellation charges will not be reimbursed.

3) Only intercity/inter-state travel will be reimbursed by Wipro. Local travel expenses will not be reimbursed.

5) Ticket cancellation charges will not be reimbursed.

 

 

प्रतिपूर्ति नीति:

1) यह तब लागू होता है जब भागीदारों ने ट्रेन/बस/टैक्सी के लिए अपनी बुकिंग स्वयं की हो या अपने निजी वाहन का उपयोग किया हो।

2) यात्रा प्रतिपूर्ति केवल ओरिजनल यात्रा प्रमाण (टिकट/रसीद) के आधार पर ही होगी।

3) विप्रो द्वारा केवल अंतर-शहर/अंतर-राज्यीय यात्रा की प्रतिपूर्ति की जाएगी। स्थानीय यात्रा व्यय की प्रतिपूर्ति नहीं की जाएगी।

4) प्रतिपूर्ति पात्रता दिशा-निर्देश नीचे दी गई तालिका में विस्तृत रूप से दिए हैं।

5) टिकट रद्दीकरण शुल्क की प्रतिपूर्ति नहीं की जाएगी।

 


 

Guidelines:

1. Please note that Wipro Foundation will book tickets for people eligible for air travel (i.e. where travel time by road/rail is more than 12 hours).

2. Kindly be very careful while filling requested details in the registration form. Once tickets are booked, we will not be able to accommodate any changes in the tickets including change of person / date / time / flight/ location (to-from).

3. Partners travelling to the Partners Forum event in Bangalore via road/rail are requested to make their own bookings and claim reimbursements (as per Reimbursement Policy detailed below).

4. Where own arrangements are made, travel should be planned well in advance to ensure regular/reasonable rates are applicable.

Note:
  • Persons with disabilities can avail themselves of Air travel - even if the travel time is less than 12 hours and if they cannot travel by train/ bus.
  • Travel for an escort is allowed for persons with disabilities.




 

दिशानिर्देश:

1. विप्रो फाउंडेशन हवाई यात्रा के लिए पात्र लोगों के लिए टिकट बुक करेगा (अर्थात जहां सड़क/रेल यात्रा का समय 12 घंटे से अधिक है)।

2. पंजीकरण फॉर्म में अनुरोधित विवरण भरते समय कृपया बहुत सावधान रहें | एक बार टिकट बुक हो जाने के बाद, टिकट में नाम / तारीख / समय / फ्लाइट / स्थान आदि में कोई बदलाव नहीं कर पाएंगे।

3. बैंगलोर में पार्टनर्स फोरम इवेंट में सड़क/रेल के माध्यम से यात्रा करने वाले साथियों से अनुरोध है कि वे अपनी बुकिंग (नीचे दी गई विप्रो ट्रैवल नीति के अनुसार) स्वयं करें और प्रतिपूर्ति का दावा करें।

4. अगर आप स्वयं बुकिंग कर रहे हो, तो यात्रा की योजना पहले से ही बना ले ताकि नियमित/उचित दर पर टिकट मिल पाए ।

नोट:
  • विकलांगता प्राप्त व्यक्ति - अगर यात्रा का समय 12 घंटे से कम हो पर वे ट्रेन/बस से यात्रा करने में असमर्थ हो तो वे हवाई यात्रा का लाभ उठा सकते हैं।
  • विकलांग प्राप्त व्यक्ति के साथ जरूरत होने पर अनुरक्षक / एस्कॉर्ट यात्रा कर सकते है।
